The ideal candidate will assist with day-to-day HR administration, including job descriptions, offer letters, employee onboarding, HRIS support, payroll assistance, and benefits administration. KEY RESPONSIBILITIES

  • Day-to-Day Administration: Handle routine HR tasks such as updating employee records, managing correspondence, and ensuring compliance with HR policies, all with a focus on accuracy and efficiency.

  • Job Descriptions: Work with hiring managers to create and update job descriptions, ensuring they accurately reflect the roles' responsibilities and requirements.

  • Offer Letters: Prepare and send offer letters to prospective employees, clearly outlining the terms and conditions of their employment.

  • Employee Onboarding: Facilitate the onboarding process to ensure new hires are smoothly integrated into the company culture and well-informed about company policies.

  • HRIS Support: Manage and maintain the HR Information System (HRIS), including making pay changes, updating policies, and ensuring accurate record-keeping.

  • Payroll Assistance: Assist in the payroll process to ensure salaries are paid accurately and on time, addressing any payroll-related inquiries.

  • Benefits Administration: Support the administration of employee benefits programs, handling enrollments, changes, and terminations while providing employees with necessary information.

  • Policy Updates and Record Keeping: Regularly update company policies in the HRIS, maintain detailed records of changes, and ensure employees are informed of updates.

  • Compliance and Audits: Assist with HR audits to ensure compliance with company policies and legal regulations, preparing necessary documentation and addressing audit findings.

  • Bilingual Communication: Facilitate clear communication and documentation in both English and Spanish, ensuring all employees fully understand HR policies and procedures.

 

QUALIFICATIONS

  • Language Proficiency: Fluent in English and Spanish, with the ability to communicate professionally in both languages.

  • Education: Associate's degree required, Bachelor's degree preferred.

  • Experience: No experience required; this is an entry-level position.

  • Technical Skills: Proficiency in Microsoft Office Suite; familiarity with HRIS systems is a plus.

  • Soft Skills: Excellent communication, interpersonal, and organizational skills. Strong attention to detail and the ability to handle confidential information with discretion.

 

WORK ENVIRONMENT

  • This position is hybrid: on-site Monday to Thursday with the option to work remotely on Fridays.

  • Standard working hours with some flexibility based on the role’s requirements.
